Privacy Policy

What we collect, why we collect it, and what we do not do with it. Last updated 7 September 2026.

The short version

We collect the details you give us so we can answer your enquiry and deliver your marquee. We do not sell your data, we do not track you around the internet, and this website sets no advertising or analytics cookies.

Who we are

Gazebro is the data controller for the personal information described on this page. Contact us at hello@gazebro.co or on 07700 900123 with any privacy question.

What we collect

When you make a booking

  • Your name, email address and telephone number
  • The delivery address for the marquee
  • Your chosen dates, marquee and extras
  • Any notes you give us about the event, access or the site

When you send us an enquiry

  • Your name and email address
  • Your telephone number, if you give it
  • The date you have in mind, if you give it
  • Your message

Automatically

  • Standard web server logs, which may include your IP address, browser and the pages you requested. These are used for security and to keep the site running.
  • If you try to sign in to our admin area, we record the attempt (username, IP address and time) to protect against password guessing.

Why we use it, and our lawful basis

  • To take and fulfil your booking - performance of a contract with you, or steps taken at your request before entering into one.
  • To answer your enquiry - our legitimate interest in responding to people who contact us.
  • To keep records of hires, payments and any incidents - our legal obligations and our legitimate interest in running the business properly.
  • To keep the website secure - our legitimate interest in preventing abuse.

We do not use your information for marketing unless you have separately asked us to.

Cookies

This website uses a single essential cookie: a session cookie that keeps your booking form working and protects forms against cross-site request forgery. It contains no personal information, is not used for tracking, and expires when you close your browser.

There are no analytics cookies, no advertising cookies and no third-party trackers on this site. Fonts, styles and scripts are all served from our own domain.

Who we share it with

Nobody, except where we have to:

  • Our web hosting provider, which stores the website and its database on our behalf.
  • Professional advisers, insurers or authorities where we are legally required to.

We do not sell, rent or trade your personal information. We do not transfer it outside the UK.

How long we keep it

  • Booking records: up to six years after the hire, so we can deal with queries, insurance and tax obligations.
  • Enquiries that do not become bookings: up to twelve months.
  • Server and sign-in logs: a short rolling period, typically no more than a few months.

Keeping it safe

Access to the booking system is restricted to authorised people with individual accounts and hashed passwords. The database is stored outside the public web directory and is not reachable from the internet.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you;
  • have inaccurate information corrected;
  • ask us to delete information where we no longer need it;
  • object to, or ask us to restrict, certain processing;
  • ask for your information in a portable format;
  • complain to the Information Commissioner's Office (ico.org.uk) if you think we have got something wrong.

To exercise any of these, just get in touch. We will respond within one month.

Children

Our services are aimed at adults. We do not knowingly collect personal information from children.

Changes to this policy

If we change how we handle personal information - for example when we add online payments - we will update this page and change the date at the top.

Any questions about your data? Contact us and we will explain properly.
